Time Management For Teachers – Why Start a New School Year With the Same Old Systems?

How can a teacher find time in the day to get everything done? Having taught time management teacher training for school districts, I understand that using time management in education at the teacher level is difficult because you face unique challenges:

• Your time is booked every day. There is no way to change your class schedule, so you have to work within very limited scheduling periods.
• An important component of your job is to be available to students and parents outside of the classroom.

One very effective method for teachers to save time is to group activities as much as possible. With this process, you can maximize those too-short blocks of time to reduce the amount of work you drag home each night.

You are four times more productive when you can focus on one type of task instead of switching between different tasks. Constant multitasking slows you down. While you will never be able to eliminate all interruptions in your day because you need to be compassionate with students, make the best use of the short periods of time you have.

What types of activities are effective in a group?

telephone: Set aside a time when you will make and answer non-urgent phone calls. It could be fifteen minutes in the morning and another fifteen minutes in the afternoon. Work on keeping common calls in this unit.

Email: Email messages can easily dominate your day. Turn off the sound or alert for incoming messages. Just like with phone calls, set aside a time each day where you only focus on email.

Discussions: If you consult with some colleagues several times a day, create a folder and collect things throughout the day so that you can cover all the points in one meeting. This limits the interruptions for both of you. Encourage others to have a folder for you too.

Reading: For articles and posts that don’t have an expiration date, keep them together and schedule a time on your calendar to read them. This reading unit can include both paper and electronic information.

Binding: Even if you have a great filing system and know where to put all your reference documents, don’t stop and file each individual item as it comes in. Wait until you have a folder of documents and then mark your calendar when you submit.

It will take practice to develop the habit of grouping your activities to limit multitasking, but the resulting increase in productivity is well worth the effort.
